Scout

Scout: request sorting, voice assistant and appointment booking

Scout receives written requests and unanswered calls, sorts them, lets the voice assistant speak when the caller agrees, and offers the appointment. One product.

Let’s talk about your requests

How Scout sorts

Scout reads every request received through the website, email or social media, then picks an outcome. When in doubt, it passes the request to a person.

  • Sale, quote, pre-qualification, appointmentCall from the voice assistant, only if the callback box is ticked. Otherwise, a written follow-up or an appointment offered.
  • SpamDeleted.
  • Customer service or problemTransferred to the right person.
  • InvoiceRouted to accounting.
  • Thank-youFiled.
  • General questionAnswer drawn from the policies and information supplied by the business (hours, service area, payment methods, cancellations). If no answer is found, passed to a person.

Fictional example.

Inside Scout

The voice assistant calls back, answers and books the appointment

After a written request with a callback on request, or when no one can answer the phone: questions, customer file and appointment.

Case 1: a written request. It comes in through your website form, by email or by social media message. Scout reads and sorts it (spam, invoice, general question, sale, quote…). If it is a sale, a quote, a pre-qualification or an appointment request, and the visitor ticked the box “I agree to be called back at the number provided” (unticked by default), the voice assistant calls them back, at their request. It never calls back on its own.

Case 2: an unanswered call. When no one can answer the phone, the caller chooses: speak with the voice assistant or go to voicemail. Never without their consent. If they choose voicemail, the call follows its normal course. If they agree, the assistant answers questions, books an appointment or, at the caller’s request, notes a callback request.

In both cases, it asks a few simple questions (need, type of business, urgency), creates the customer file, then offers two time slots taken from the company’s calendar. The customer chooses and the invitation lands in their calendar. Transfer to a person is possible at any time, and the customer always knows they are speaking with a voice assistant. No automatic outbound calls.

  • Scout sorts every written request before any callback.
  • The voice assistant answers only if the caller agrees.
  • It offers two time slots, the customer chooses.
  • Transfer to a person is possible at any time.

No call without the customer’s request or consent. The callback box is unticked by default.

A typical day, without Scout and with Scout

Without Scout

  • 8:15 a.m.A quote request comes in through the form. It is seen at 5 p.m.
  • 10 a.m.A call comes in while the team is on a job site. Voicemail, callback the next day.
  • 10 p.m.A water leak is reported. The message is read the next day at noon.

With Scout

  • 8:15 a.m.It is sorted as a quote request. A written follow-up or an appointment is offered.
  • 10 a.m.The caller chooses: the voice assistant answers, creates the file and offers two time slots.
  • 10 p.m.The message is passed to the designated person.

What Scout never does

  • It does not make up prices: with no answer in the information the company provides, it passes the request to a person.
  • It only calls a visitor back if the “I agree to be called back at the number provided” box was ticked. It is unticked by default.
  • It makes no automatic outbound calls, and never passes as a person: the customer always knows they are speaking with a voice assistant.
